Inventory Program Item Distribution Report |
Program Item Distribution Report, or the PID Report, provides a list of activity for Co-op and Fulfillment items based on the parameters entered. This report is most commonly used for Customer Owned Inventory but may also be used for any Co-op or Fulfillment inventory program in the system.
NOTE: This is a huge report. If you are presently dealing with any customer owned programs, you already know this. If customer owned programs are new to your company, you will get to know this report intimately. This is the report that is used to generate a Bill Only to charge your customer the fees due to your company for freight, tax, shipping and release charges, management fees, and any other fees that may be negotiated by the sales department when this program was brought in. Once the prompts are answered in a way that generates a report that the customer wants, screen print the set up page and file it away. Next month, pull this screen print out and reenter the answers to the prompts. If the customer's needs change, change the prompts accordingly and reprint the setup page. Appropriate responses to the appropriate prompts will generate the appropriate report.
Report Setup
Invoice Source. The report may be set to report on only open, only closed or both open and closed invoices. For open invoices only, enter "O". For history invoices only, enter "H". For all invoices open and closed, enter "B".
Program ID. Enter the program ID for the program to print. If the program ID is unknown, enter "?" to display the Program Display window. Select the program to print by entering the sequence number to the left of the program ID. This report prints for only one program at a time.
Item Class. Enter the item class of the program items to print. For Fulfillment items only, enter "F". For Co-op items only, enter "C". If both Fulfillment and Co-op items are to print, enter "A" for all items in the program. If "C" is entered, the system will continue to valid order types. If "F" or "A" is entered, the system will proceed to previously hidden prompts.
Inv Type. Inventory Type. I=Inventory, N=Non-Inventory, C=Customer Owned, P=Production. If all item types in the fulfillment part of the program are to print, press Spacebar.
Location. This is the physical location of your inventory such as the Aisle, Row, and Bin that the item is located in.
Valid Order Types. The report may be set to report on a single order type code, a group of order types codes up to 10, or all order type codes. If all order type codes are to print, press Spacebar. For a single or a group of order type codes to print, enter the single order type code or the group of order type codes. For the group, enter the codes without spaces or commas in between. An example would be "FCtkl". F=Fulfillment, C=Co-op, t, k, and l are special order type codes used for release of customer owned inventory. The designation of these special codes may differ from company to company.
Valid Sales Analysis Codes . The report may be set to report on a single SA code, a group of SA codes up to four (4), or all SA codes. For a single SA code or a group of SA codes, enter the sales analysis code(s). For all SA codes, press Spacebar.
Sort by SA Code. If Spacebar is entered for the SA codes, the system will ask if the report is to be sorted by the SA codes. If the report is to be sorted by the SA codes, enter "Y". If the sorting is to be by some method other than SA codes, enter "N".
Invoice Detail Option. The report may be set to report the details of the invoices involved, a summary of the invoices involved, or a summary of the items distributed. If a full detailed report of all invoices is to print, enter "D". If a summary of the invoices is to print, enter "S". If only the item summary is to print without any invoice detail whatsoever, enter "N".
Include/Exclude One Customer. The report may be set to print all of the invoice distributions for all customers, one customer, or all customers excluding one.
For all distributions for all customers, enter past this field leaving this field blank. This option would be used for any reports for company owned inventory.
For distributions for one customer, enter "I". This will be used when research or reconciliation is being done for the distributions of merchandise to one customer. Enter the customer number to be included in the Cust # field.
For distributions for all customer excluding one, enter "E". This is the option for customer owned inventory especially if the customer owned releases are entered into the system using a "F" = Fulfillment order. If a separate order type code is used to release customer owned inventory, this option may not be a necessary as it otherwise would. Enter the customer number to be excluded in the Cust # field.
Sub-Totals. The report may be set up to subtotal after a variety of different filters. The filters include customer number, customer group code, customer SIC code, or no subtotals at all. If the report is top subtotal after each customer, enter "C". If the report is to subtotal after each customer group code, enter "G". If the report is to subtotal by customer SIC code, enter "S". If there is to be no subtotaling on this report, enter "N".
Page Break. If a subtotal filter is chosen, the report may be set to page break after each subtotal. A page break means that after each subtotal, the system will go to the top of the next sheet of paper before starting to print the rest of the report. It will continue to do this after every subtotal. If a page break is desired, enter "Y". If no page breaks are needed, enter "N". If "N" responded to the subtotal prompt, the page break prompt will be bypassed.
Customer Group Codes. The report may be filtered to print only the invoice and activity pertaining to customers who have been assigned a particular, or a series of, group codes. Up to 10 group codes may be entered. If all group codes are to be reported on, press Spacebar.
State Abbreviation. The report may be set to report on only one or all states. To report on the invoices and activity for a single state, enter the postal abbreviation for the state to be reported on. Postal abbreviations are 2-character alpha codes used to designate a particular state. For example, Illinois is IL, Texas is TX, Colorado is CO, etc. If the invoices and activity in all states is to be reported on, press Enter.
Salesman. The report may be set to report on a single salesman or all salesmen. If a single salesman is to be reported on, enter the salesman number for the salesman. If all salesmen are to be reported on, press Spacebar.
Beginning and Ending Date. The report may be set to print for a single date, a date range or all dates. There would be very few instances where a report would be printed for all dates or even a date range greater than a couple of months. Most commonly the date range is from the first day of a month to the last day of the month. This is the usual reporting period for customer owned inventory programs. Enter the beginning and ending date for the report to print. If all dates are to be reported on, press Spacebar in both the beginning and the ending field.
Valid Item Status Codes. Item status codes are entered onto items on the IFM menu under the item setup, either Co-op or Inventory. Item status codes are user-defined codes that are attached to items that cause certain reports to then use the status codes for reporting purposes. Examples of item status codes may be M for mugs, W for wearables, F for Food, P Pens, etc. To filter the report based on the item status codes, enter the items status codes to be included on this report. Up to 10 item status codes may be entered for a report. If all item status codes are to be shown on the report, press Spacebar.
Exclude Item. The report may be set to exclude an item from the reporting. This may occur when, for instance, a hat is given for free if an order is over X amount of dollars. The client to whom this report will be sent may or may not care about the reporting on the hats. The hats may be excluded from the reporting. If all items are to be included on the report, enter "N". If an item is to be excluded from the report, enter "Y".
Item. If "Y" is responded to the exclude item prompt, enter the item number to be excluded. If the item number is not fully known, partial item number will be accepted. If "N" is responded to the exclude item prompt, this prompt will be bypassed.
Include Cost and Gross Profit. The report may be set to print the cost and the gross profit for the invoices listed as activity in the program. BE CAREFUL! The operations or program manager should be consulted before sending internal financial information outside of the company. If the item is company owned, the system will print your cost and your gross profit on the report. If the item is customer owned, the customer's cost and the customer's gross profit will be printed on the report. If the report is to be an internal report, there will usually be no problem with printing the cost and gross profit. If the report is to be sent to an external entity, make sure that the cost and gross profit printed on the report is in compliance with company policy pertaining to the release of internal financial information.
Include Freight and Tax. The report may be set to print the freight and sales tax information from the invoice. This may be helpful when the program is customer owned and the client is reimbursing you for the freight and the sales tax for any distribution of their inventory. This is usually the case when the customer is sending out the items to an end user as a gift or a reward as in employee reward programs. If the freight and the tax are to print as line items on the report, enter "Y". If the freight and the tax are not to be included in the report, enter "N".
Print Total Line by Invoice. The report may be set to print a total line for each invoice listed on the report. If the order that generated the invoice had multiple lines, the report will add the lines together to give a total of the invoice. If the report is to show a total line for each invoice, enter "Y". If the total line is unnecessary, enter "N".
Sort by PO Number. The report may be set to sort the invoices for customers by the PO number. If a customer number has multiple orders during a reporting period, it may be helpful to your client if the multiple orders are sorted so as to be grouped together. The PO may be an indication to your client as to which cost or revenue center the invoice is to be charged to in their organization. If the invoices are to be grouped and sorted by PO number, enter "Y". If sorting by the PO is unnecessary, enter "N".
Include Items. The report may be set up to print a range of items within a program only. This is the case when there are fulfillment items and customer owned items in the same program. If the customer owned items are prefixed in a manner to differentiate them from the company owned fulfillment items, the range of the customer owned items may be set to print on the report without the company owned fulfillment items printing. If the entire program is customer owned and the entire group of items is to print, press Spacebar in both fields.
E-Commerce Options
The report will print the following information depending on the prompt responses.
Customer Number and Name.
Invoice Number.
Ship to Address.
Dates. There are three dates included on the report
Order Date. This is the date the order was entered into the system. |
Ship Date. This is the date the order was shipped to the customer/end user. |
Invoice Date. This is the date the order billing was generated. |
Item Number.
Quantity. This is the amount of the item actually billed/shipped to the customer.
Unit Price. This is the item's catalog price.
Amount. This is the Quantity X Unit Price.
Cost. This is the item's cost. If this item is company owned, this is the average cost. If the item is customer owned, this is the customer owned price. This column only shows if requested as part of the report setup.
Profit. This is the Unit Price – Cost. This column only shows if requested as part of the report setup.
GPM. Gross Profit Margin. (Price – Cost) divided by Price.
PO. This is the customer PO number.
Via. This is the ship via code.
Totals. If invoice totals are requested, this line will show the total of the entire invoice. Most invoices are one line invoices but some are multiple lines and it is those invoices where the invoice total line is beneficial.
This report also prints a summary page at the end of the PID report. This summary page includes:
Item Number and Description
T. Item Type
No. of Invoices. Number of invoices generated containing this item number. The total of these invoices may be different than the number of invoices shown on the PID report. If an invoice has two items listed, the invoice will be counted twice, once with the first item listed and once with the next item.
Total Quantity. This is the total amount of the item listed on the invoice on the PID report. This can be used as a mini-usage report for the items on the report.
Total Amount. This is the total of all of the invoices for the items listed. The amount column in grand total should equal the totals of the PID report.
Total Cost. If the cost is printed on the PID report, this is the total cost of all of the invoices for which the item is listed. The total of this column should equal the total cost from the PID report.
Total Profit. This is the total profit, Price – Cost, for the entire report that pertains to this item. The totals of this column represent the Gross Profit from the PID report. This only shows if Cost and Gross Profit are set to print on the PID report.
GPM. Gross Profit Margin. This is the total Gross Profit Margin for the item. The total is the total GPM for the PID report.
