Customers Customer Number Check |
Customer Number Change allows you to change an existing customer number to a new number that has never been used before. This utility is different from Combine Existing Customer Numbers in that the two numbers combined already exist. Customer number change will, in effect, give the customer a brand new number.
Old Cust #. The system will prompt for the entry of the customer number to be changed. Enter the customer number. The customer's address will display automatically. The system prompt will read Is this the correct Customer? (Y/N) . Review the customer number entered for accuracy. To proceed, enter "Y". To return to the Old Cust # field to reenter a correct customer number enter "N".
New Cust #. Enter the customer number the old customer number is to be changed to. The system will prompt Change Customer Number XXXXXA to XXXXXB? (Y/N). To exit this utility and return to the menu, enter "N". To change the customer number as entered, enter "Y".
Proceeding with the customer number change, the system prompt will read Do you want the opportunity to change the Customer Address and A/R Customer Address in the Order File and Order History File? (Y/N). This prompt means that the system, if instructed to do so will go to all orders, open and closed, and change the address of the A/R customer and the customer address on the face of the order to the new address for this customer. To leave the addresses as they are now for future reference, enter "N". This will leave the addresses alone and only change the customer number. Future research will allow you to ascertain which orders were converted and which orders was originally the new customer number.
For the opportunity to change the order customer address and the A/R customer address, enter "Y". This will cause a window to appear in the middle of the screen. The window will display an old address and a new address. The header on the window will reference an order number. The window prompt will read Enter T=Type New Address, R=Replace Old Address with New Address, F4=End. The window will allow you to enter an address manually, replace the old address with the new address automatically, or press F4 to leave all addresses for this order the same. Depending on how many orders are in history, you may be in this window for a length of time. There is no way to exit the window once in. Press F4 for each order until all orders have been displayed. Then the system will allow you to exit the utility.
The major reasons for using this utility are in the cases of changing a numbering scheme, a number is entered that does not meet the uniformity of the customer- numbering scheme, or a customer moves their operations to a new location requiring a new customer number. This utility should be set at a fairly high security. Limited access is recommended.
