Credit Limit Code Maintenance

 

Credit Limit Code Maintenance is on the Accounts Receivable Set-up (SER) menu.  It allows you to create and maintain credit limit codes established for customers.  One credit limit code will be assigned in the Customer Master File Creation Defaults based on the information that you supply on the required forms.

 

Credit codes can be changed to reflect each account under Customer Master File Maintenance in the M=More Data Screen.  This is a valuable tool for monitoring customer accounts.  A credit message is viewed at order entry after the customer number is entered.  For example, a message is displayed for an open account with a credit limit could read "Check Customer Balance", and the credit limit amount and the available balance are both displayed for the operator to evaluate.  The operator can then proceed with entering the order or deliver the order to credit for further inquiry.  When you select this option the following choices appear on the screen:

 

1.      Standard File Maintenance

2.      File Maintenance within Limits

3.      Print Terminal Image

 

Use Option, Standard File Maintenance.

 

NOTE:  Pressing F2 will display the current credit codes on file.  Using your cursor keys, highlight the code you want to view or maintain and press [ENTER].

 

 

Creating Credit Codes

 

To create a new credit code enter the alpha or numeric character, 1 being the maximum accepted.  You then will be asked if you want to create a credit code.  Respond "Y".  This code could then be assigned to a customer's account in field #3 in the M=More Data Screen under Customer Master File Maintenance.

 

Description - Enter the description of the credit code that you are creating.  The maximum number of characters is 24.

 

Display Message - enter the message that the operator at order entry will observe after the customer number is entered.  The maximum number of characters is 24.

 

 

USE CREDIT LIMITS (Y/N)

 

Enter Y or N if this credit code requires credit limit amount.  This credit limit amount is to be entered under the customer's account in field # 4 in the M=More Data Screen under Customer Master File Maintenance with the credit limit code.

 

 

PROCESS A/R UPON ORDER ENTRY? (Y/N)

 

Enter Y or N if the customer's accounts receivable balance is to be calculated at order entry. 

 

 

How to Use Credit Codes

 

Example: Specialty Advertising Co. first need to enter the credit code which applies 85%-90% of the customers of Specialty Advertising's customer base in Customer Master File Creation Defaults.  The default credit limit code could be assigned to each customer entered automatically.  This credit default will be preset for you by Quikey Computer Systems based on the information you provided.  

 

As in the above example, this case a credit code of 1, open account w/ credit limit would encompass the majority of the customer base.  Upon entering each new customer, the credit limit amount could be modified independently as needed since each customer could require a different credit limit amount.

 

However, when Specialty Advertising Co. enters a customer who falls within the remaining 10-15% of their customer base, those customers who are required to pay "cash with order",  the default credit limit code must be changed to a credit limit code of 5, Cash w/ Order subsequently the message "PREPAYMENT RECEIVED?" will display at order entry after the customer is accepted.
