Memo Writing

Correspondence Inquiry

 

Correspondence Inquiry enables the lookup of letter and memo sent to customer and/or vendors or letters and memos written for internal use.  Correspondence in the EZZ system is defined as saved memos.  If a letter is written in Memo Writer, and saved, the memo becomes correspondence.  Correspondence can be searched using several different access methods. 

 

 

Access Methods

 

1.  F5 Customer Number.  This method allows correspondence to be search based on what customer the memo was written to.

2.  F6 Salesman Number.  This method allows correspondence to be searched based on the salesman number entered into the correspondence filing window.

3.  F7 Vendor Number.  This method allows correspondence to be searched based on what vendor the memo was written to.

4.  F8 Letter Date.  This allows a search of letter dates to select the correspondence needed.

5.  F9 Alpha Sort.  This allows a search based on the alpha sort code entered into the correspondence filing window.

6.  F10 Operator ID.  This allows a search based on who wrote the correspondence.

7.  F11 Prospect Number.  This allows a search based on the prospect the correspondence was written to.

 

After selecting the access method to use and entering to search correspondence, the list of correspondence will display.  Select the sequence number to display and the correspondence will display on the screen.  An option window will also display on the lower right screen. 

 

 

Option Window

 

1.  F5 Print Memo.  This enables the printing of the memo to any printer selected.

2.  F6 Print Envelope.  This enables the printing of the envelope for mailing.

3.  F7 Fax Memo.  This enables the correspondence to be faxed through the system (UNIX only).

4.  F8 Save/Delete Memo.  This enables the filing or deletion of correspondence.  This option is where the alpha code and the salesman number are entered.  NOTE:  If the correspondence is private and not to be read by whomever can access Correspondence Inquiry, enter a password.  Only those who know the password can read the correspondence.

5.  F9 Modify Text.  The enables the modification to the text of the correspondence.

6.  F10 Modify Address.  This window enables the addressing of a fax to the person to whom it is being sent.  This option also attaches the senders name, by the logon ID for the machine being used.
